EGM minutes



HELD ON 26 JANUARY 2013 AT THE DUKE OF WELLINGTON,
BUGLE STREET, SOUTHAMPTON at 1830 hrs.
(In total 12 people attended representing 8 boats- Some of us enjoyed an excellent pub dinner and drinks. The meeting ended around 2100 hrs )

Jaik welcomed everybody including the new owner of Firecracker.


APPOINTMENT OF COMMITTEE MEMBERS:

1. Jaik Tari to continue as Class Captain


2. Phillip Melville to be Membership Secretary proposed by Jon Carver and seconded by Jaik. It was discussed that it would be more efficient to pay membership fees on-line/electronically, though some members may not have this facility but would be encouraged to do bank transfers at their branch to save on work and postage costs. To minimise club expenditure communication must as much as possible by direct calls/texts and emails as required. Phil would need to chase boats and get details of change of ownership. There is a need to issue Membership Cards to all new paid up members possibly accompanied by a Scod pin badge or burgee (may still exist.)

3. John Carver to continue as Webmaster and also be the Archivist as proposed by Jaik and seconded by Barry. Peter Shaw has indicated that he wishes to stand down as Archivist which Jon has now agreed to take on Hopefully Peter would be willing to carry on as Class Measurer. Jon agreed to discuss this with him.

4. APPOINTMENT OF TREASURER
Steve Brookson elected asTreasurer in his absence
(proposed by Anthony Fanshaw). It was agreed Jaik will also be the second and alternative signatory on the bank account when required in the Hon Treasurers absence. JT to discuss this and confirm Steve Brookson appointment with him and liaise with Philip Wyness, current Treasurer prior to handover.

Once ratified with Steve and Phil Wynes the paperwork can be dealt with. Second person on cheque signatures will be Jaik Tari
Everybody agreed with this and it was voted in unanimously. A letter was proposed to the outgoing Treasurer thanking him for all his work for the Association over many years.

5. Social Secretary to be Dominic Brady – Mark proposed and voted in unanimously.

6. Racing Secretary to be Mark Taylor as proposed by Dominic and seconded by Jaik voted in unanimously.

SCOD TROPHIES
It had been previously agreed that all trophies to be brought to the Isle of Wight and kept in a display cabinet at the Island Sailing Club.
It is believed that Richard Johnson has all the Association trophies, about 10 trophies in all. Island Sailing Club to be approached. We will provide cabinet and will pay insurance. If Island unwilling we will approach the Royal London. Jon Carver to look into images of trophies on website. Jaik to approach island Sailing club and Dominic indicated he may be able to provide a suitable cabinet.
It was suggested that trophies could be awarded for classic week and other events. Mark Taylor to approach Richard Johnson for the trophies and liaise with Jaik regarding transfer to the Island when the issue has been resolved and Insurances in place.

Vaughan Hine may hold some old stock of burgees, ties etcetera but is no longer active in the club. Mark wanted a show of hands to see how many want to buy burgee. Dominic suggested perhaps we could send a tie out with membership. Jon said he thought there was no longer any stock of ties. It was suggested we would may have trouble getting pins nowadays. Jaik thought ties would be more appropriate that new members would be presented with a burgee and a membership card.

SOCIAL EVENTS
Dominic would like social events to have new page on website. Suggested fitting-out and laying up suppers and suggested the Folly as the venue for fitting out supper with perhaps racing round the cans beforehand.
It was also suggested that the A.G.M. should be on the mainland in future perhaps at the same time as a laying up supper around October/November. During this end of year meeting prize giving should be held by the Class Captain and to present certain trophies to scod owners for their efforts of the past year.
Dominic will be arranging a few Social events this year and it was suggested that 13
th-14th July a SCOD rally will be in Cowes followed by Cowes Classic Week when all SCODs that have entered the racing and social events with RLYC may like to stay in Cowes to 20th July. (Cowes Classic Week racing with Royal London Yacht Club is from Monday 15th July to Friday 19th July)

It is anticipated 6 of the SCODS attending this meeting will be entering this event and if we do get 5 or 6 SCOD s then we will get our own start and hence those who do not race normally will find this a great experience as there will be plenty of room to manoeuvre on the line.

A barbeque and SCOD party at Jaik and Marion’s house in Gurnard during this event to be arranged for those attending the rally weekend or during the week.

Dominic suggested that a questionnaire be sent out by email asking members what they would like from the association rather than what we as committee put forward. All agreed that was a very good idea. Dominic would be willing to do this.

Jon reported that he gets up to 25,000 hits a month on the website! It seems there is a lot of interest in the SCODs and lets hope the recent influx of interest from new and current members continues to grow one more.


RACING EVENTS
Mark hopes that people will attend Classic Week. If we can get five or more Scods we can have out own start. Encouragement to all of those scod owners who have not raced before. Cowes Classic week is 15/19 July. They are encouraging one design boats including classic cruisers and gaffers. Details can be seen or downloaded from RLYC website. Mark has met the organisers and they are actively encouraging us to join them. Cheaper than Panerai Week. We also do not have to apply to IRC handicap rating as a special one used for classic boats is proposed to be used a without charge.
Mark says the system of IRC. is good but it has flaws. We will not need the handicap rating if we have at least 5 Scods entering.

JAIK WILL APPROACH EAST COWES MARINA TO TRY AND GET DISCOUNT FOR THOSE COMING OVER FOR ALL FUTURE SCOD EVENTS.



6. Date of next AGM
- TBA – PROBABLY AROUND OCTOBER/NOVEMBER WITH A LAYUP SUPPER AND PRIZE GIVING.
